Account deletion

Delete your Closebooks account.

Updated 6 September 2026 Rasmussen Software LLC

Closebooks holds a year of your income and deductions, so deleting it is deliberate and complete. There are two ways to do it, and both remove everything — your sign-in, every record, every receipt image and your settings — from our servers.

The short version

In the app: Account → Security & data → Delete account…, then tap again to confirm. Immediate. Without the app: email hello@closebooks.app from the address you signed in with, subject "Delete my account". Done within 30 days, confirmed by reply. Neither can be undone.

1In the app

Export first if you want a copy — Account → Export my data produces the PDF and CSV for a tax year, and nothing can be recovered afterwards.

  1. Open Account — the avatar in the top-right corner of every screen.
  2. Scroll to Security & data and tap Delete account…
  3. The row changes to Tap again to confirm — this cannot be undone. Tap it again.

The deletion runs on our servers first and only then wipes the copy on your phone, so a failed connection leaves your books intact rather than half-gone. When it finishes you are signed out and the app returns to its first screen. It is immediate, and it cannot be undone.

2Without the app

If you have already deleted the app, or changed phones, you do not need to reinstall it.

  1. Email hello@closebooks.app from the address you signed in with, with the subject Delete my account.
  2. If the request arrives from a different address, we reply asking you to confirm from the sign-in one. Nobody can delete your books but you.
  3. We delete the account and everything attached to it within 30 days — usually the same day — and confirm by reply.

If you signed in with Apple and chose Hide My Email, your sign-in address is the private relay address Apple created; it forwards to you, so send from the mailbox it forwards to and mention that you used Hide My Email.

3What is deleted, and what is not

Receipt imagesOur storage, and the copy on your phone
Your settings — name, brokerage, commission and split defaults, vehicle, home officeOur database, and the copy on your phone

Two things are not removed automatically, and the privacy policy says the same:

  • Analytics events. They carry a random identifier, never your email, so they cannot be matched to an account to delete. Ask in the same email and we delete them by hand within 30 days.
  • Short-term backups. Our database keeps them for disaster recovery, so a deleted record can persist in a backup for a short window before ageing out. Backups are never restored into the live service except after a failure.

Nothing else is kept. There is no "deactivated" state and no retention of a deleted ledger for any purpose.

4Deleting some of your data instead

You do not have to delete the account to delete a record. Every closing, expense, fee, trip and quarterly payment can be deleted on its own — swipe the row, tap Delete, then Confirm — and every total recalculates. A receipt image is deleted with its expense. Analytics can be turned off entirely in Account → Security & data.

5Subscriptions

Worth doing first

Deleting your account does not cancel a subscription. Apple and Google Play bill you directly and we cannot cancel on your behalf, so a subscription left running keeps renewing against an account that no longer exists.

  • Android: Google Play → your profile → Payments & subscriptionsSubscriptions → Closebooks → Cancel.
  • iPhone: Settings → your name → Subscriptions → Closebooks → Cancel.

Cancelling keeps access until the end of the period you have paid for. Refunds are handled by the store you subscribed through, not by us.

Questions before you delete: hello@closebooks.app. It reaches one person, and he answers.
